1. Overview

This Privacy Policy explains how MyReferral.systems ("we," "us," or "our") collects, uses, shares, and protects personal information when you use our website and platform (the "Service"). By using the Service, you agree to the practices described here.

2. Information we collect

  • Account information: name, email address, phone number, password, and profile photo.
  • Business information: business name, category, city, website, description, licensing and insurance details you choose to provide.
  • Referral information: details you enter when sending or receiving a referral, including a referred customer's name and contact details, the service needed, notes, and reported values. Referred customer contact details are encrypted at rest.
  • Payment information: processed by our payment providers (such as Stripe and PayPal). We do not store full card numbers.
  • Usage information: log data, device and browser type, pages viewed, and similar analytics data, including via cookies and similar technologies.

3. How we use information

  • Provide and operate the Service, including chapters, meetings, messaging, and referral tracking;
  • Display your business profile to other members and, where you opt in, in public directories;
  • Process payments and manage subscriptions;
  • Send transactional communications such as referral notifications, meeting reminders, and billing notices;
  • Send marketing communications you can opt out of at any time;
  • Monitor for fraud, abuse, and violations of our Terms and Anti-Spam Policy;
  • Improve and secure the Service; and
  • Comply with legal obligations.

4. Referred customer information

Referrals often contain personal information about people who are not platform users. We process this information on behalf of the referring and receiving members solely to facilitate the referral. Receiving members may use it only to respond to the referred need. If you believe your information was submitted in a referral and want it removed, contact us and we will address your request promptly.

5. How we share information

  • With other members: your name, business profile, category, and chapter participation are visible to members of your chapter and, in some cases, in public chapter pages you agree to appear on.
  • With service providers: hosting, payment processing, email delivery, and analytics vendors who process data under contract with us.
  • For legal reasons: to comply with law, enforce our Terms, or protect the rights, safety, and property of users and the public.
  • Business transfers: in connection with a merger, acquisition, or sale of assets, subject to this Policy.

We do not sell personal information, and we do not share referred customer contact details with advertisers.

6. Cookies

We use cookies and similar technologies for authentication, preferences (such as dark mode), security, and analytics. You can control cookies through your browser settings; disabling essential cookies may prevent parts of the Service from working.

7. Data retention

We retain personal information for as long as your account is active and as needed to provide the Service, resolve disputes, meet legal and tax obligations, and enforce agreements. Referral records may be retained in de-identified or aggregated form for statistics after personal details are removed.

8. Security

We use reasonable administrative, technical, and physical safeguards, including encryption of sensitive fields at rest and in transit. No system is completely secure; please use a strong, unique password and enable two-factor authentication where available.

9. Your choices and rights

You may access and update your profile at any time, opt out of marketing emails via the unsubscribe link, and request deletion of your account. Depending on where you live (for example, California and other U.S. states with privacy laws), you may have rights to access, correct, delete, or obtain a copy of your personal information, and to opt out of certain processing. To exercise these rights, contact us using the details below. We will not discriminate against you for exercising them.

10. Children

The Service is intended for business use by adults. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us information, contact us and we will delete it.
